Connect your Libwana.Net CRM workflow with Microsoft Excel so contacts, leads, customers, campaign data, follow-up information, and other CRM records can be organized in spreadsheets when needed.

Excel integration is useful for importing existing business data into the CRM, exporting CRM records for reporting, and—when an online workbook connector is configured—moving selected CRM data between Libwana.Net and an Excel workbook.

Typical use case:
A sales team maintains an Excel workbook of prospects. The sheet can be prepared with standard columns, imported into Libwana.Net CRM, and mapped to CRM fields such as name, email, phone number, company, status, and follow-up date.

Prepare Your Excel Sheet

Use a clean first row containing column headings. Keep one contact or CRM record per row and avoid merged cells inside the data range.

Phone numbers should include the appropriate country code when they will later be used for messaging. Email addresses should be stored in a dedicated email column.

Recommended: Clean duplicate rows and verify required fields before importing a large workbook.

Import Excel Data Into Libwana.Net CRM

Step 1: Prepare the workbook with one header row and clean contact or lead data.
Step 2: Open the relevant import area in your Libwana.Net CRM.
Step 3: Upload the supported Excel file and review the detected columns.
Step 4: Map spreadsheet columns such as email, phone, name, status, and lead source to the correct CRM fields.
Step 5: Review duplicate handling and required fields before starting the import.
Step 6: Complete the import and review the created or updated records.
Before a Large ImportTest with a small sample workbook first to confirm field mapping, formatting, duplicate rules, and phone-number handling.

Export CRM Records to Excel

Export is useful when your team needs to review CRM information in a spreadsheet, prepare reports, share selected records internally, or perform additional analysis.

Step 1: Filter the contacts, leads, customers, or records that should be exported.
Step 2: Select the available export option in your Libwana.Net CRM.
Step 3: Include only the columns required for the intended business purpose.
Step 4: Store the exported workbook securely, especially when it contains customer contact information or internal CRM notes.

Connect an Excel Online Workbook

If your Libwana.Net installation includes an Excel Online connector, connect the user's Microsoft account through the supported authorization flow and select the target workbook and worksheet.

Step 1: Connect the Microsoft account used to access the required Excel workbook.
Step 2: Select the workbook and worksheet that should receive or provide CRM data.
Step 3: Map CRM fields to the appropriate Excel columns.
Step 4: Choose the CRM event that should trigger the workflow, such as a new lead, contact update, status change, or scheduled export.
Step 5: Run a test record and verify the resulting row before enabling the workflow for production data.

Duplicate and Update Handling

Before importing or synchronizing data, choose a reliable field that can be used to identify existing records.

Common matching fields:
Email address, phone number, or a unique Libwana.Net CRM record ID can be used depending on the rules implemented in your CRM.

Avoid creating a new CRM contact every time the same spreadsheet row is processed. Where update workflows are supported, match the existing record first and then update only the intended fields.

Data Formatting Tips

Phone Numbers: Keep phone numbers in a consistent format and include the country code when they will be used for SMS or WhatsApp communication.
Dates: Use a consistent date format such as YYYY-MM-DD when possible.
Email Addresses: Store one email address per field and remove unnecessary spaces.
Empty Rows: Remove blank rows and unnecessary formatting before importing large sheets.
Headers: Use clear, unique column headings in the first row.

Privacy and Security

Excel files may contain customer contact details, campaign information, sales notes, or other business data. Share and store spreadsheets only where authorized.

Security NoticeDo not expose sensitive CRM exports through public links. Limit workbook access to authorized users and remove information that is not required for the intended task.

If an online Microsoft connection is used, authorization tokens should be stored securely on the server and never placed in frontend or browser JavaScript.

Troubleshooting

Columns are not mapping correctly: Check that the first spreadsheet row contains clear headers and manually map them to the appropriate CRM fields.
Phone numbers changed format: Format the Excel phone column as text when necessary so leading zeros and long international numbers are not unintentionally changed.
Duplicate contacts were created: Review the matching field used during import or synchronization.
Online workbook is not updating: Confirm the Microsoft account is connected, the workbook is accessible, and the configured worksheet still exists.
